How to Determine the Best Display Size for Conference Rooms?

One of the most important things that influences the level of audience engagement during meetings is the size and dimension of the AV device’s screen. A screen that is too small is difficult to read. So, if you opt for a smaller screen, you might struggle to get your message across.

When buying an AV device think about how far your audience will be seated from the screen. Consider how far the furthest person will be seated from the screen.

If the distance between the furthest person and the screen exceeds 43 feet, consider a full-sized video wall.


Ideal Minimum and Maximum Viewing Distance


To prevent unnecessary eye strain, make sure the closest person to the screen is seated no closer to it than its width. For example, if you have a 45-inch-wide display, the person closest to the screen should sit no closer than 45 inches to it.


To calculate the ideal maximum seating distance, multiply the display’s image height by 8. So, let's say the screen height is 25”. In this instance, you’d want to make sure the farthest person is seated no further than 200” (25*8) from it. Keep in mind that this is for video viewing and might not be the ideal distance for viewing text-based content.


When sharing Excel, Word, or PowerPoint presentations, presenters will want to prevent blurry images so their audiences have no difficulties understanding information.


For corporate environments, use larger screens to ensure participants are able to read the content more clearly and conveniently. If presenters primarily share PowerPoint presentations, use a multiplier of 6 when calculating the ideal screen size for a corporate environment,


If presentations consist of data-rich content such as CAD drawings, web pages, and Word or Excel documents, use a multiplier of 4.


Viewing Angles


For ideal viewing, position the screen within 30 degrees above eye level. Make sure participants are within 45 degrees to each side from the center of the screen.
